Steps, order and rules

Choose Step by step and add up to 5 steps with up to 10 reviewers on each, so the client sees it only after your account lead has approved. Or choose Everyone at once and every reviewer is asked at the same time. Each step passes when any one reviewer approves, or only when all of them have.

A request change from any reviewer on an open step ends the round as Changes requested. It never marks the item done or closes it: the item stays where it is so the team can fix it and send a new version.

Outside reviewers decide from their inbox

Each outside reviewer gets an email with a personal link. The link opens a page with the item, your note and the attached files, and two buttons: Approve and Request changes, with room for a comment. No account, no password. Links expire after 30 days, and you can send a reminder to the step that is open.

When a client is also a contact on your client portal, the same approval shows on the item in their portal, so they can decide there too.

Every decision is recorded with the time, the comment, and for outside reviewers the IP address and browser that made it. The history of an approval is kept as a log of events that is never edited.

New versions, badges and automations

Changes made? Submit a new version with a note and new files. Every decision resets to pending, the first step is invited again, and links from older versions stop working with a message pointing to the newest email, so nobody approves something out of date.

Items with an approval show a badge on the board row with its state: awaiting approval, approved or changes requested. The board automation trigger When an approval is decided runs on either outcome, or only on approved or only on changes requested, so you can move the item, change its status or notify someone without doing it by hand.

Questions

Do outside reviewers need a TallyWeek account?

No. They decide from the link in their email. Clients who are contacts on a client portal can also decide from the portal.

Does requesting changes close or complete the item?

No. The approval ends as Changes requested and the item is left as it was. Submit a new version when it is ready and the reviewers are asked again.

What happens to old links when I send a new version?

They stop working. Opening one shows that a newer version was sent. Each reviewer gets a fresh link for the new version.

What is recorded for each decision?

Who decided, the decision, the comment and the time. For outside reviewers deciding from a link or the portal, the IP address and browser user agent are stored as well.

Who can request an approval?

Anyone with permission to create and edit items on the board. Viewing an approval needs access to the board; deciding needs to be a reviewer on the step that is open.

Are approvals on the Free plan?

Yes. Approvals, outside reviewers and the automation trigger are on every plan.
