Automations are deliberately small. A rule is one trigger and one action, so anyone on the team can read the list and know what the board does on its own.
Rules run on the server when the change happens, whoever made it: a teammate, a form submission, the API or an AI assistant. The due-date trigger runs once a day.

Recipes teams set up first
The same handful of rules turn up on almost every board. They take about a minute each to create from the board's Automations menu.
- When status changes to Done, move the item to the Shipped group
- When an item is created, assign it to the person who triages
- When priority changes to High, notify the lead
- When the due date arrives, change status to Overdue and notify the owner
- When the Stage column changes to Signed, create a subitem called Send invoice
Questions
Are automations on the Free plan?
Yes. Every plan has automations on every board with no rule limit.
Do automations run when the API changes an item?
Yes. Rules run on the server for changes from the app, the public form, the REST API and the MCP server.
Can a rule notify someone outside the workspace?
No. Notifications go to workspace members and board guests, in the app and by email.
Can I see what an automation did?
Yes. Each run shows in the board's activity log and, when it changes something on screen, a short indicator appears so it does not look like the change came from nowhere.
