Project management for agencies
One board per client, phases as groups, guests who see only their own board, and a dashboard that is ready for the weekly call.
One board per client, from kickoff to the weekly call
- 1
Create a board per client
Start each client from the Project tasks template and rename the groups to your phases: Discovery, Design, Build, Launch. Boards can sit in folders, one per account lead or per service line.
- 2
Add the columns you report on
A Timeline column for dates, Progress for percent done, Files for deliverables and a Dropdown for who owns each piece. Table view for the team, Gantt for the plan, Kanban for the day to day.
- 3
Invite the client as a guest
On the Pro plan, guests get board-only access. Pick the board role that fits, from Viewer to read along up to Editor to take part. A client sees their own board and nothing else in your workspace.
- 4
Open an intake form and switch on automations
Publish the board's Form view as a public link for new requests. Then add automations: when an item is created, move it to the Requests group and notify the account lead; when status changes to Done, notify the client.
What agencies lean on most
Boards with six views
Table, Kanban, Calendar, Gantt, Dashboard and Form on every board, with 19 column types including Timeline, Progress and Files.
Learn moreGuests and permissions
Workspace roles, board roles and a permissions matrix on Pro. Guests only see the boards they are invited to.
Learn morePublic intake forms
Turn the Form view into a request link. Each submission becomes an item, and the client does not need an account.
Learn moreStatus automations
Trigger on item created, status, priority, a column change or the due date. Move items, notify people, set values or create subitems.
Learn moreDashboards for the client call
Counts, breakdowns and progress widgets built from the board's own columns, so the weekly numbers are ready without a slide deck.
Learn moreUpdates and mentions
Updates, @mentions, files and notifications on every item, so decisions stay next to the work instead of in an email thread.
Learn moreStart from the Project tasks template
Groups for To do, In progress, In review and Done, with Timeline, Progress, Notes and Files columns. Rename the groups to your phases and you have a client board.
Questions agencies ask
Can a client see only their own board?
Yes. On the Pro plan you can invite a client as a guest. Guests have board-only access, so they see the boards they are invited to and nothing else in your workspace. Choose the board role that fits, from Viewer to Editor.
How do clients send us requests?
Every board has a Form view that you can publish as a public link. Each submission becomes an item on the board, and an automation can move it to a Requests group and notify the account lead. The client does not need an account to submit.
What do I show on the weekly client call?
Open the board's Dashboard view. Widgets count items by status, break them down by group or dropdown and show progress, all built from the board's own columns. Switch to Gantt when the conversation turns to dates.
Which plan does an agency need?
The Free plan covers up to 3 members with unlimited boards, every view and automations. Guests, private boards and the permissions matrix are on Pro at $8 per member per month, or $6 per member per month billed yearly.
