Time tracking, rates and budgets

Log time on items with a timer or by hand, see each person's week, price hours with rates and keep boards inside a budget.

Timers

Open an item and choose Start timer in the Time section of the drawer, or press play in the board's Time tracking column. The running timer appears in the top bar on every page, with the item name, the elapsed time and a stop button. It survives reloads and follows you across tabs.

Each person has one running timer per workspace. Starting a timer on another item stops and saves the current one first.

Log time by hand

  1. In the item's Time section, choose Log time.
  2. Pick the day and enter a duration such as 1h 30m, 90m, 1.5h or 2:30, or switch to a start and end time.
  3. Add a note if useful and leave Billable ticked, or untick it for internal work.

One entry covers up to 24hours and cannot start in the future. An entry counts on the day it started. If it overlaps another entry by the same person it is saved and flagged, not refused. The Time section shows time logged, the billable and non-billable split, and time used against the item's estimate.

Timesheets

Timesheetsin the left rail shows one person's week: items down the side, days across, with row, day and week totals and the billable split. Click a cell to add or edit that day's entries. Pin items you work on every week so they stay on the sheet; pins are saved in your browser. Owners and admins can switch to anyone in the workspace.

Who can do what

Owner, AdminLog, edit and delete anyone's time. Open anyone's timesheet. Manage rates, budgets and invoices. Reports show everyone's entries with cost, profit and margin.
MemberLog, edit and delete their own time. Reports show only their own entries, without cost figures.
GuestCannot track time and cannot open reports.

Time on an issued invoice is locked: nobody can edit or delete it until the invoice is voided.

Rates

Owners and admins set rates under Reports, Rates. Start with the workspace default, which also sets the workspace currency, then add rates for a board, a person, or a person on a board. For each entry the most specific rate wins: person on a board, then board, then person, then the workspace default.

  • Start date. Every rate applies from a date. Adding a new rate from a later date keeps older time at the old price.
  • Cost rate. Optional, next to the hourly rate. It is what an hour costs you, and feeds cost, profit and margin. A cost rate is looked up on its own, so a board's client rate does not hide a person's cost.
  • Rounding. Each entry is rounded to the nearest whole minute, then priced in whole cents. Totals are sums of entries, so reports and invoices always add up.
  • Currency. One per workspace, from 18 two-decimal currencies including USD, EUR, GBP, CAD, AUD and INR.

Non-billable entries earn nothing but still count toward cost. A running timer is not priced until it stops.

Budgets

  1. On the board, open the board menu and choose Budget & rates….
  2. Pick a budget in hours or in money, for the whole project or per month, and tick Retainer if it is one: the budget resets each period and unused time does not carry over.
  3. Optionally add the client's name. Reports can group time by this client name, and a new invoice for the board starts with it as the client.
  4. Set the alert threshold, 80% by default.

The same panel shows the budget used, what remains or how far over it is, and, for monthly budgets, a straight-line projection to the end of the month. When the board reaches the threshold, and again at 100%, every workspace owner gets one in-app notification. Each threshold fires once per budget period.

Time reports

Reports in the left rail opens the time report. Pick this week, last week, this month, last month or a custom range of up to about 13 months, filter by boards, people and billable only, and group by person, board, item, week, client. Each row shows hours, billable hours and amount; owners and admins also see cost, profit and margin.

API and MCP

On Pro, the REST API has endpoints for time entries and timers, and the MCP server has matching tools, so a script or an AI assistant can log time for the member a key acts as. See REST API and MCP server.
