Client portal
A branded page per client that shows only the work you choose. Clients sign in with an email link, follow progress, comment and send requests.
Create a portal
- Open Clients in the left rail. Only workspace owners and admins can manage portals.
- Choose New portal, give it a name and a link name, and add a logo, brand colour and welcome text if you like.
- Pick the boards, then choose under What clients see whether they see every item or only chosen groups.
- Set the options for files, comments and requests, then Create portal.
Client portals are on every plan, including Free. You can create as many portals as you need.
Portal settings
| Setting | What it does |
|---|---|
| Name | Shown at the top of the portal, usually the client's name. |
| Link name | The address of the portal: /c/ followed by 3 to 48 lowercase letters, numbers or hyphens. It must be unique. |
| Logo and brand colour | An https link to the client's logo and a hex colour. Buttons and accents use the colour; text switches between dark and light to stay readable. |
| Welcome text | A short message shown on the portal home page. |
| Boards | The boards the portal reads from. Nothing outside them is ever shown. |
| What clients see | All items on each chosen board, or only the items in the groups you pick per board. |
| Show item files | On by default. Off hides the Files section on every item. |
| Clients can comment | On by default. Clients can leave comments on items they can see. |
| Clients can send requests | Off by default. When on, choose the board and group where requests become items. |
Add and invite contacts
Under the portal, choose Add contact with an email address and an optional name. TallyWeek sends an invite email with the portal link. Contacts are not workspace members: they never count as a seat, are never billed, and there is no limit on how many you add.
- Invite sends the email again.
- Deactivate ends the contact's access straight away and cancels any sign-in links they have not used. Reactivate lets them sign in again.
- The contacts table shows when each person was invited and last seen.
- Preview the portal as any contact to check exactly what they will see before you invite them.
How clients sign in
A client opens the portal link and enters their email. If that email is an active contact, they get a sign-in link that works once and expires after 30 minutes. The page answers the same way whether or not the email has access, so it does not reveal who your clients are. A session lasts 30 days; clients can sign out from the portal. Sign-in links are rate limited per email address.
What is visible, exactly
- Only items on the portal's boards, and only in the chosen groups when the portal uses chosen groups.
- Only live, top-level items: archived items, items in the trash, subitems and items in archived groups are left out.
- For each item: name, board and group, status, start and due date, the checklist, plain fields (text, long text, number, date, timeline, checkbox, dropdown, tags, rating, progress, link, email, phone, country) and, if allowed, attached files.
- Team updates, with the author shown by first name. Internal updates and replies to them are never shown.
- Approvals on the item where the contact's email is a reviewer. See Approvals.
Files, connect-boards, dependency, mirror and time-tracking columns are not shown as fields. Every page and every file download checks these rules on the server; clients never get a database session.
Comments and requests
A client's comment appears on the item in the app under Client comments, and the item's assignees and followers who are workspace members get an in-app notification. Comments left in one portal are not shown in any other portal.
With requests on, the portal shows a request form: a title, a description and one optional file up to 10MB. Each request becomes a new item in the board and group you chose. Its first update carries the description and the client's name and email, and workspace owners get an in-app notification.
Limits today
- Portals live at /c/<your-link-name> on the TallyWeek domain. Custom domains are not available.
- A small "Powered by TallyWeek" line appears at the bottom of the portal.
- Clients cannot edit items or change statuses; they read, comment, approve and request.
Related
- Approvals: ask a client to sign off on an item.
- Permissions and sharing: guests, who work inside a board instead of a portal.
- Public links: a read-only board page for anyone with the link, without sign-in.
